Schedule service appointments. Obtain customer and vehicle data prior to arrival when possible. Use CDK appointment scheduler when possible.
Greet customers in a timely, friendly, professional manner and obtain all vehicle and customer information needed to properly open repair order.
Review/inspect customer’s vehicle recommending additional work needed. Inspect Utah State Inspection and/or FHWA inspection and advise customer of needs.
Write up customer’s vehicle problems accurately and clearly on repair order.
Obtain customer signature/approval during write-up process either on repair order or on Company approved pre-write sheet.
Refer to service history in ADP to verify previous work.
Provide a complete and accurate written cost estimate for labor and parts, utilizing sales staff as needed.
Establish “promised time”. Check with foreman if needed. Document on SDL in CDK.
Establish customer’s method of payment. Obtain credit approval if necessary prior to work beginning.
Notify shop supervisor of incoming work.
Check on progress of repair throughout the day. Contact customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and obtain proper authorization before any additional repairs are performed. Document all authorizations in a proper format.
Review repair orders to ensure that work is completed, and additional work and authorization is noted appropriately. Pre-Invoice repair orders as appropriate and close invoice when appropriate.
Obtain purchase orders for AR accounts prior to releasing vehicle.
Ensure that vehicles are parked in assigned areas. Make sure all CASH customers vehicles are properly secured.
Explain completed work and all charges to customers.
Handle telephone inquiries regarding appointments and work in process.
Ability to operate and understand various PC based programs and invoicing systems, including ADP.
Must be able to pre-invoice R.O’s correctly and in a timely manner.
Maintain professional appearance and conduct that favorably represents the Company.
Must have excellent computer skills and be able to learn new systems.
Compensation will be salary plus commission and based on experience.
Provide customer service by receipt of payments. Assists the Service Department with department procedures, including verification of accurate information on repair orders, creating purchase orders, and other administrative duties as assigned by Service Manager.
Duties/Responsibilities (including but not limited to)
Accept cash/credit card payments as per company policy and procedures.
Obtains purchase orders from customers on AR accounts.
File customer invoices.
Type quotes and other requested materials as needed.
Creates and issues purchase orders.
Audits all purchase orders to ensure all charges included and charged to the correct repair order.
Completes, codes and closed all purchase orders ensuring proper accounting.
Assist Service Writers in closing repair orders daily ensuring proper method of payment, proper account number, and correct customer on invoice. Proper accounts for internal.
Assist administrative assistant with daily scans of all closed invoices.
Reconcile cash reports and cash drawer daily.
Reconcile sublet schedule monthly.
Reconcile warranty schedule monthly ensuring all claims are filed and accounted for properly.
Assist Service Writers with opening repair orders as directed by supervisor.
Orders office supplies as requested and approved by supervisor.
Answers incoming phone calls and directs customer to proper employee.
Maintains hazardous waste disposal files, ensuring complete compliance with EPA rules and regulations.
Must have strong interpersonal and communication skills.

Must have strong computer skills with knowledge of Microsoft Office applications. Also, CDK experience not required but helpful.
Compensation will be based on experience and is hourly plus bonus.
The Trailer Delivery Driver will be responsible for all aspects of picking up and delivering customer trucks and trailers to and from designated lots or customer locations as well as delivering parts as necessary. This position will work with management to certify that processes are in compliance with company standards.
Operate, safely, both conventional and flatbed tow vehicles, including driving, towing, and backing trailers, using safety skills
May have to deliver equipment throughout Utah and nearby states
When able this position will assist on delivering parts and helping out around the facility
Perform daily pre-trip inspections on both hostlers and delivery trucks.
Fuel hostlers and company vehicles as needed.
Valid CDL and clean driving record
Current Medical DOT card
Experience in operating tractor trailers preferred.
